1. Who we are
MyWattle ("MyWattle", "we", "us") is a mobile application designed to help NDIS support workers manage shifts, participants, invoices, compliance documents, and related records. We are based in Australia and operate under Australian privacy law.
2. What information we collect
We collect only the information you choose to enter into the app: • Worker profile — your name, ABN, and contact details • Participant details — names, NDIS numbers, funding types, support plans, and emergency contacts you record • Shift records — dates, times, support categories, notes, and shift types • Invoices and financial records — amounts, NDIS line item codes, and payment status • Compliance documents — certification names, dates, and uploaded files (e.g. police checks, first aid certificates) • Expense records — amounts, categories, and receipt images you upload • Improvement log entries — notes you record about your practice We do not collect data in the background, track your location, or access your contacts, camera, or microphone except when you explicitly use those features within the app.
3. How we use your information
Your information is used solely to provide the features of the app: • Displaying your shifts, participants, and invoices • Generating PDF reports and audit packs • Sending emails you compose via the app (invoices, cert cards) • Calculating hours worked and amounts owed We do not use your information for advertising, profiling, or any purpose unrelated to the operation of MyWattle.
4. AI dictation and audio
When you use the AI Shift Notes feature, your audio recording is sent securely to OpenAI's API for transcription and note generation. The audio is processed in real time and is not stored by OpenAI after processing, in accordance with OpenAI's data usage policies for API customers. The resulting text notes are stored only within your MyWattle account. You may choose not to use this feature at any time.
5. Data storage and security
Your data is stored on Supabase servers located in Australia. Supabase is SOC 2 Type II certified and uses industry-standard encryption in transit (TLS) and at rest. Access to your data is protected by your login credentials and, if enabled, Face ID / Touch ID biometric authentication. Each user's data is isolated using row-level security policies — no other user can access your records.
6. Data sharing
We do not sell, rent, or share your personal information with third parties, except: • Supabase — our database and storage provider, acting as a data processor • OpenAI — for AI dictation processing only, when you use that feature • Apple / Google — standard app analytics (crash reports) if you have opted in via device settings All third-party providers are contractually bound to protect your data and may not use it for their own purposes.
7. Your rights
Under the Australian Privacy Act 1988, you have the right to: • Access the personal information we hold about you • Correct inaccurate information • Request deletion of your account and all associated data • Withdraw consent for optional data processing (e.g. AI dictation) To exercise any of these rights, contact us at privacy@wattleapp.com.au. We will respond within 30 days.
8. Data retention
Your data is retained for as long as your account is active. If you request account deletion, all your data will be permanently removed from our systems within 30 days. You may export your data at any time using the Audit pack feature before requesting deletion.
9. Children's privacy
MyWattle is intended for use by adult NDIS support workers and is not directed at children under 18. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the app after changes constitutes acceptance of the updated policy.
